This page is a practical walkthrough of how Modmail actually works in our Discord server. For the legal detail on what data Modmail stores and how long we keep it, see the Privacy Policy (§5–§6, §11).

§ 01

What Is Modmail

Modmail is the private channel between you and the staff team. Instead of posting a problem publicly, you send a direct message to Tao, our utility bot, and Tao relays it into a private ticket that only staff can see. It's the right tool any time something shouldn't go in a public channel — a personal question, a bug report, a moderation appeal-adjacent issue, or a report about another member.

Modmail is separate from the Ban / Mute Appeal form, which is specifically for contesting a punishment and goes through its own tracked review process.

§ 02

Ticket Categories

When you open a ticket, Tao asks you to pick a category so it reaches the right people faster and gets tagged for staff. Common categories include:

General Question

Anything about the server, roles, events, or how something works.

Other Concerns

Reports about another member, safety concerns, or anything sensitive that needs staff eyes only.

Moderation & Appeals

Questions about a warning, mute, or ban that don't need the full appeal form.

Bug Reports & Site Issues

Something broken on the bot, the wiki, or gokurakugai.wiki.

§ 03

Opening a Ticket

  1. DM Tao

    Send Tao a direct message on Discord, or use the ticket command/button if the server has one pinned. You don't need to be in a specific channel — this works from anywhere.

  2. Pick a category and describe your issue

    Choose the category that fits best, give it a short subject line, and write a description. The more detail you give up front (what happened, when, and any evidence), the faster staff can help.

  3. Tao opens a private thread and assigns a Ticket ID

    Your ticket gets a short reference code (e.g. #56, ID RMGN7F) and a private forum thread is created that only the support/staff team can see.

  4. Staff replies land back in your DMs

    You don't need to do anything else — just keep an eye on your DMs with Tao. Anything a staff member types in the ticket thread gets relayed to you automatically.

§ 04

What Staff Can See

To save staff from having to look you up manually, Tao automatically posts a short account-info card at the top of every new ticket thread. It's generated the same way for every ticket, regardless of category, and looks roughly like this:

This card is only ever visible inside the private staff thread for your ticket — it is never posted anywhere public. See Privacy Policy §5 for exactly what's stored and for how long.

§ 05

Replying & Follow-Up

Once a ticket is open, the thread works like a normal conversation:

  • Your replies — anything you DM to Tao while a ticket is open gets posted into the thread, labeled as your response, so every staff member working the ticket can see it.
  • Staff replies — a staff member types directly in the thread and Tao forwards it to your DMs. You can reply the same way as any other DM.
  • Anonymous staff follow-ups — for sensitive tickets, staff have a way to send you a message without revealing which individual staff member sent it, while the ticket stays exactly as it was (open or closed).
§ 06

Closing, Locking & Reopening

When your issue is resolved, a staff member closes the ticket — you'll get a short confirmation, and the thread is archived. Closed tickets are usually locked so only moderators can reopen them, which keeps the history intact if the same issue comes up again later. If you need to follow up on something that was already closed, just DM Tao again — it will either reopen the existing thread or start a new linked ticket, depending on the situation.

§ 07

Reporting a Safety Concern

If you or someone else is in immediate danger, contact local emergency services first. Modmail is for reporting server-related conduct — it is not a crisis line.

Modmail is the right place to report harassment, inappropriate contact, predatory behavior toward minors, or anything else that makes the server feel unsafe. Choose Other Concerns as the category so it's flagged for prompt staff attention, and where you can, include:

  • Who was involved — a username, display name, or user ID if you have it.
  • What happened, as specifically as you're comfortable sharing.
  • Evidence — screenshots or message links help staff act quickly and confidently.

You don't need proof for every claim before reaching out — a first-hand account is enough to open an investigation. Reports involving a minor's safety are treated as a priority. Alongside Modmail, you can also use Discord's own built-in Report and Block tools on a user or message at any time — the two are not mutually exclusive.

§ 08

Privacy & Confidentiality

Ticket threads are only visible to members of the support/staff team, in a private area of the server that regular members cannot see. Reports about another member are not shared with that member unless staff need to relay something back to them as part of resolving the issue, and staff use judgment about what details are necessary to share.

§ 09

Misuse & Modmail Bans

Modmail is meant for genuine questions, reports, and issues. Spamming tickets, using Modmail to harass staff, or submitting deliberately false reports can result in a Modmail-specific ban — this only blocks you from opening new tickets and does not otherwise affect your access to the server. Staff can lift a Modmail ban at any time.
